With you in this role, the business runs smoother, clients feel supported at every step, and exciting new ideas move from concept to execution without things slipping through the cracks. You are a key contributor to the growth of the studio—not just support staff.

ABOUT THE ROLE

This is a key role on the team and the operational backbone of the studio.

You will take ownership of day-to-day operations, client experience workflows, scheduling, and backend systems to ensure everything runs smoothly and nothing slips through the cracks. You’ll work closely with the owner to execute, refine, and improve how the business operates—supporting both ongoing client work and new initiatives as they come online.

This is a part-time 1099 contract role, typically 20–30 hours per week. While there may be occasional lighter weeks, 15 hours is the minimum and will be rare. Most weeks will be closer to 25+ hours, particularly during onboarding, busy seasons, and project or launch weeks.

Work is remote, with optional onsite opportunities in Alexandria, VA (not required).
Consistent availability and responsiveness Monday–Friday, 9 AM–5 PM ET is required. This role cannot be done primarily outside business hours or alongside another full-time job.

WHAT YOU’LL BE RESPONSIBLE FOR

This role supports the studio across:

  • Client communication and experience management

  • Scheduling and calendar coordination

  • Workflow and task tracking

  • Studio systems and software

  • Administrative organization

  • Preparing client-related materials and documents

  • Ensuring all backend processes run smoothly

  • Supporting launches and studio initiatives

  • Supporting the owner with operational execution and follow-through

You will be responsible for moving clients through structured workflows, maintaining studio databases, and ensuring all timelines are met—both client-facing and internal.

TOOLS & SOFTWARE

You must be comfortable with—or able to quickly learn—programs such as 17hats, Airtable, G-Suite, Typeform, Acuity Scheduling, Mailchimp, Flodesk, Zoom, Canva, Motion, and Squarespace.

A love of tech, systems, and organization is essential.

REQUIREMENTS

  • 3+ years in operations, executive assistance, administrative support, hospitality, finance, or a similar role

  • Exceptional attention to detail and accuracy

  • Excellent written and professional communication

  • Strong organizational and time-management skills

  • Comfort managing multiple timelines and priorities

  • Ability to follow, maintain, and create detailed SOPs

  • Adaptability as systems and workflows evolve

  • Strong follow-through

  • Tech-savvy and a fast learner

  • Reliable, high-speed internet

  • Must be U.S.-based and consistently available during Eastern Time business hours

HOURS & WORK STRUCTURE

  • Part-time: typically 20–30 hours/week (most weeks ~25+)

  • 15 hours/week is the minimum and will be rare

  • Monday–Friday only

  • Availability and responsiveness required during 9 AM–5 PM ET

  • This role cannot be done primarily outside business hours or alongside another full-time job

You’ll thrive in this role if you:

  • Have strong technical skills in photo editing and color management

  • Are highly proficient in Lightroom and Photoshop (required)

  • Have experience with portrait retouching and image enhancement

  • Have prior professional experience in photo editing, retouching, or post-production workflows (required)

WHAT YOU’LL OWN

You’ll manage post-production from RAW files through final delivery, ensuring brand alignment at every step.

Responsibilities include:

  • Receiving and organizing RAW image uploads

  • Culling and rating images using AI-assisted culling software

  • Applying AI-based portrait retouching software using studio guidelines

  • Performing manual refinements in Photoshop (distractions, flyaways, clothing, final polish)

  • Maintaining consistent brand toning and color across sessions

  • Exporting high-resolution images for proofing and review

  • Preparing images for panel voting using survey-based tools

  • Creating slideshow presentations using video software

  • Incorporating client-requested edits post-selection

  • Preparing final images for professional print labs, including sizing and lab requirements

  • Placing print and wall art orders once selections are finalized

  • Uploading final images to the studio’s image delivery platform

  • Ensuring correct file naming, organization, and backups

  • Continuously improving workflow quality and efficiency

Finished products are delivered to the photographer’s studio. All image reveal sessions, upselling, and client-facing communication are handled by the photographer.

TOOLS, SYSTEMS & EQUIPMENT

You’ll work within established studio systems, including:

  • Adobe Lightroom

  • Adobe Photoshop

  • AI-assisted culling and retouching software

  • 17hats (workflow coordination and image delivery)

  • Survey-based tools for panel voting (e.g., Typeform)

  • Video presentation software

  • Image delivery platforms

  • Cloud storage and file-sharing systems

You’ll need:

  • Reliable, high-speed internet

  • A computer capable of handling large RAW files and layered Photoshop documents

  • A calibrated monitor suitable for professional color work

Performance Standards

  • Proof galleries are typically delivered within 48 business hours of each photoshoot

  • Final images are typically delivered within 24 business hours of reveal approval

  • Deadlines are communicated proactively if adjustments are needed

  • Work is delivered accurately, consistently, and aligned with studio quality standards

  • Revisions are minimal and addressed promptly

  • File naming, exporting, and uploads are handled correctly and consistently

Timelines may vary based on shoot volume and complexity, but consistency, accuracy, and dependability are essential.
